Key Dates Every HBTU Candidate Must Track

Out of the entire counselling calendar, these are the dates where most candidates make costly mistakes:

  • Registration deadline: If you miss this, you cannot participate in any round. No extensions are given.
  • Document verification window (each round): If you are allotted a seat for the first time in any round, you must physically visit HBTU Kanpur for offline document verification. Missing this window cancels your seat and removes you from the process.
  • Full Academic Fee payment deadline: After document verification, you must pay Rs. 1,35,000 immediately. Non-payment cancels the allotted seat.
  • FREEZE or FLOAT selection: You must actively select one of those options after you pay your fees. If you do not make an active choice, it will be considered a decline of your seat.
  • University ERP registration: You must register on the University ERP by the deadline and indicate to the University whether you will allow the University to perform Internal Slidings (provide a yes or no answer). If you do not register on the University ERP, you will automatically lose your seat.
  • Withdrawal deadline: Withdrawal is possible only up to Round 2 (Phase 1) or Round 4 (Phase 2). No withdrawal after the last round begins.

HBTU B.Tech Counselling Rounds at a Glance

HBTU conducts counselling in two phases across five rounds plus internal sliding and a spot round:

Phase 1 (Rounds 1, 2, 3):

  • Rounds 1 and 2 allow FREEZE or FLOAT options
  • Round 3 allows FREEZE or WITHDRAW only (no FLOAT)
  • Internal sliding happens after Round 3 for Phase 1

Phase 2 (Rounds 4, 5):

  • Fresh registration is allowed for new candidates in Round 4
  • Round 4 allows FREEZE or FLOAT
  • Round 5 allows FREEZE or WITHDRAW only (no FLOAT)
  • Internal sliding happens after Round 5 for Phase 2

Additional Spot Round: If seats remain vacant after all five rounds and both internal slidings, HBTU conducts an offline in-campus spot counselling. Dates for this are announced separately.

What Is Internal Sliding and When Does It Happen?

Internal sliding is a process that gives already admitted candidates a chance to upgrade to a better branch based on the choices they filled during registration. It happens after Round 3 (Phase 1) and after Round 5 (Phase 2).

Candidates must have chosen to FREEZE their seat in any round prior to being able to register on the University ERP and provide an answer (YES or NO) indicating whether they would like to participate in internal sliding. If they select YES, the ERP system will search for an available seat in a branch that has a higher preference than the branch they have been assigned at that time. If they select NO, the ERP system will confirm their assignment as it is (without any changes).

The result of internal sliding is final and cannot be reversed. Read the instructions carefully before giving your consent on ERP.
