What Is HBTU Counselling 2026?
HBTU Kanpur conducts its own counselling process for admissions to B.Tech programs every year. Unlike state-level centralized counselling processes, HBTU runs an independent online and offline counselling system through its dedicated admission portal.
Seat allotment is done purely on the basis of JEE Main 2026 Common Rank List (CRL), which is the All India Rank published by the National Testing Agency (NTA). The seats are filled category-wise based on the candidate’s rank, their chosen preferences, and the availability of seats.
The counselling has two major phases. The first phase covers three rounds of counselling, followed by internal sliding. The second phase covers two more rounds along with another round of internal sliding. If seats still remain after all these rounds, an offline spot counselling is conducted on campus at HBTU Kanpur.
HBTU Counselling 2026 Eligibility Criteria
Before you register, make sure you meet all the conditions below. The university will not make exceptions for candidates who apply without checking their eligibility.

HBTU Counselling 2026 Process: Round by Round
HBTU Counselling 2026 runs in two phases. Let’s go through each phase and each round clearly.
Phase 1 of HBTU Counselling 2026
Step 1: Online Registration and Choice Filling
Register on the HBTU official site (https://hbtu.admissions.nic.in), each candidate must pay a non-refundable registration fee of INR 2,500. After registering, you need to fill your branch preferences very carefully. This is critical because the choices you fill at this stage are locked and will be used not just for the first round, but also for internal sliding at the end of counselling. There is no option to modify your choices between rounds.
Round 1: First Seat Allotment
After the registration window closes, the first round seat allotment result is published. If a seat is allotted to you:
- Visit HBTU, Kanpur with all original documents for offline document verification.
- After successful verification, deposit the full academic fee of Rs. 1,35,000.
- Then choose either FREEZE or FLOAT.
- If you choose FREEZE, register on University ERP and decide whether you want to participate in internal sliding.
- If you choose FLOAT, wait for Round 2 result.
If no seat is allotted, simply wait for the next round result.
Round 2: Second Seat Allotment
If you receive a seat in round 2 for the first time ever, then you will have to go to HBTU for document verification. If your documents were already verified in round 1, then you do NOT need to visit HBTU again. Just login to the HBTU website and select either FREEZE or FLOAT. If you selected FLOAT previously but are still not satisfied, you may select FREEZE again or WITHDRAW from the process.
Round 3: Third Seat Allotment
In round 3 there is no option to select FLOAT. You may only select FREEZE or WITHDRAW from the process. After the allocation of seats in round 3, candidates who participated in Phase 1 and opted for internal sliding will receive their allocation results based on their choice.
Phase 2 of HBTU Counselling 2026
Phase 2 will consist of new registrations for all eligible individuals interested in being considered for the vacant seats created by Phase I and also through the adjustment of existing candidates through internal sliding.
Round 4: Fourth Seat Allotment (Fresh Registration Round)
This round allows fresh registrations for candidates who were not part of Phase 1. It also allows candidates from Phase 1 who were never allotted a seat to participate without paying again. Candidates whose seats were cancelled must re-register by paying Rs. 2,500 again.
Those who already have a confirmed admission from Phase 1 cannot participate in Round 4.
After allotment, the same process applies: visit for document verification, pay fee, and choose FREEZE or FLOAT.
Round 5: Fifth Seat Allotment
Similar to Round 3, the FLOAT option is not available in Round 5. You can only FREEZE or WITHDRAW. After Round 5, internal sliding results for Phase 2 are declared.
Additional Round: Offline Spot Counselling
If seats still remain after all five rounds and internal sliding, HBTU conducts an offline in-campus spot counselling at its Kanpur premises. Dates for this round are announced separately. New candidates can register fresh by paying Rs. 2,500 for this round. Candidates who were already registered but could not get a seat can participate without paying again (proof of previous registration fee payment required).
What Is Internal Sliding in HBTU Counselling 2026?
Internal sliding is a feature that gives already admitted candidates a chance to upgrade to a better branch, based on the choice preferences they filled at the time of registration.
After choosing the FREEZE option in any round, candidates register on University ERP and select YES or NO for internal sliding. If you select YES, the system tries to upgrade your seat to a higher preference branch based on available vacancies. If you are already in your first-choice branch, you will only see the option to keep it, not move elsewhere.
When participating in internal sliding your category (if you have one) may also change. For instance, if you were accepted into the OBC category, you could receive a seat in the general (open) category if it was available. As a result of internal sliding, your final placement is binding and cannot be contested. Please thoroughly read through the entire internal sliding procedures and give your consent carefully.
If you select NO for internal sliding, your current allotted seat is confirmed as-is.
FREEZE, FLOAT, and WITHDRAW: What Do They Mean?
These three options come up repeatedly during HBTU Counselling 2026, and understanding them correctly is important.
| Option | What It Means |
|---|---|
| FREEZE | You are satisfied with the allotted seat and want to confirm it. No further upgrades will be considered in the next round. |
| FLOAT | You accept the current seat but want to try for a better branch/category in the next round. Fee must still be paid. |
| WITHDRAW | You want to exit the counselling process completely. Your allotted seat (if any) is cancelled and you become ineligible for further rounds. |
Once you get your first-choice branch, the FLOAT and FREEZE options will not both be visible. In that case, only FREEZE is available since there is nothing better to move to.
Also remember: FLOAT is not available in Round 3 and Round 5. In those rounds, it is either FREEZE or WITHDRAW.
Documents Required for HBTU Counselling 2026
Offline document verification is mandatory for all candidates who are allotted a seat for the first time in any round. You must bring originals and self-attested photocopies of all of the following:
- Class 12 / Intermediate Marksheet (Original) – All candidates
- Class 10 Certificate (for Date of Birth) – All candidates
- JEE Main 2026 Scorecard – All candidates
- Category Certificate (SC/ST/OBC/EWS/PwD) – As applicable
- Domicile / Residence Certificate – As applicable
- Income / Tuition Fee Waiver Certificate – As applicable
- Sub-Category Certificate (UPFF/UPAF/UPHC) – As applicable
- Medical Fitness Certificate / Undertaking – All candidates
- 4 Passport Size Photographs – All candidates
- Gap Affidavit (if applicable) – As applicable
- Self-attested Photocopies of all documents – All candidates
Do not go for document verification without having all certificates in the exact format prescribed by the university. Check the formats on www.hbtu.ac.in before getting your certificates issued. Pay close attention to the issue date, the issuing authority, and the specific recipient name mentioned on each certificate. For example, OBC certificates must be issued on or after 01.04.2026 to confirm non-creamy layer status.
Practical Tips for HBTU Counselling 2026
- Fill your branch preferences very carefully. The choices you enter during registration are final and will be used across all rounds including internal sliding. There is no scope to change them later, so think through your priorities before submitting.
- Do not wait until the last minute for document verification. If you miss the document verification window after a seat is allotted, your seat gets cancelled and you are out of the counselling process. There is no second chance in that round.
- You should have all of your verification certificates and other relevant documents prepared for submission by the time the admissions process opens. Some of these certificates will have a specific issue date, such as OBC-NCL, EWS, and Permanent Resident certificates, that you must have available in order to submit. Having them available to you ahead of time will allow you time to correct any potential errors that may occur with them.
- Enter your bank account details correctly during registration. This is needed for refunds. If the refund goes to a wrong account due to your error, the university will not be responsible.
- Check the website every day during active rounds. All notices, schedule updates, and allotment results appear only on the official admission portal. No individual communication is sent.
- If you choose FLOAT, still pay the fee. Many candidates assume they do not need to pay if they float. That is incorrect. The full academic fee of Rs. 1,35,000 must be paid regardless of whether you choose FREEZE or FLOAT.
